Search results

How to set the search bar to prioritize student results

If you frequently need to look up students in Workday, you can configure your search results in Workday to bring students up before other result categories.

  1. Type anything in the "Search bar" at the top of your Workday portal and click enter (e.g., "Student"). Do not select a result. This will bring you to a full "Search Results" page.
  2. Select the “All Categories” button at the top of the page. Then select “Edit Category Preferences.”
  3. Drag and drop categories from the Unpinned Categories block to the Pinned Categories at the top to prioritize what results you want to see when you use the search bar. The first category will appear and be prioritized with additional Pinned Categories. To prioritize student names, drag the "Student" category into the Pinned Categories block in the order you want to see it. (For example, set your Pinned Categories to People (employee) results first, Tasks and Reports, then Student.)
  4. Select "Save" when done.

This configuration now removes the need to type “Student:” in the search bar before entering a student’s name.

Evaluate academic requirements for student (Run a What-If Report)

Advisors can run the Evaluate Academic Requirements report in Workday to help simulate hypothetical changes to a student's program of study. This report only looks at the Program of Study (POS) you want to experiment with and shows how degree and major requirements completed or in progress would be applied. All advisor roles will be able to run this report in Workday. 

You can conduct the following scenarios in this report: 

  • Apply a different catalog year to a major or minor 
  • Analyze completed requirements that could be applied to an added minor or slightly altered major, e.g., a student majoring in Environmental Science wondering if it would make sense to add a Geology Minor or change their major to Geology.  
  • Provide more information on adding a certificate for a student who took several relevant courses as electives in sophomore year, which could count toward both elective credits and a certificate.  
  • Dropping a minor or certificate to use credits toward a different requirement.  
  • Any other scenario that could benefit from experimenting with the student's current POS and/or degree requirements.

Exploring the Financials Hub - Workday
  • Navigate to the home page by selecting the Fort Lewis College icon. 
    • Under Your Top Apps, select Financials Hub.
  • You can also navigate to the Financials Hub from the Menu.
  • The Overview section of the Financials Hub displays current balances due on your bill, recent payments, and financial aid award status. 
  • Statements & Documents is where you will view your bill.  
  • The Suggested Links section routes a student to external Âé¶¹Ãâ·Ñ¸ßÇåÎÞשÂëÇølinks to manage payments and payment settings. 
  • Most financial tasks will be completed in the View Financial Aid section
Get your unofficial transcript

Unofficial transcripts are only available in Workday to current Fort Lewis College students with active login credentials.

  1. Navigate to the Academics app, from either the Workday home page Your Top Apps box, or from the MENU at the top left of the Workday portal.
  2. Find the Transcripts header on the right column tasks list.
  3. Select Generate Unofficial Transcript.
  4. Check the Confirm box.
  5. You will receive a notification that says, “Your Request is being processed”. Click Notify me Later. This notification indicate the document is being prepared and will be ready in a few seconds in your Notifications.
  6. Navigate to the Bell icon at top right of portal to get to Notifications

Unofficial transcripts cannot be provided via email. Former students seeking unofficial transcripts may only request to pick-up at Skyhawk Station by emailing skyhawkstation@fortlewis.edu. Electronic delivery is not available.

Reviewing a student’s transfer credits and placements

When reviewing a student’s eligibility request for a course section, it is important to review placement information first in the student’s profile to determine if the student has sufficient prerequisites for the course section they would like to take.

  1. From the Workday home page, click on the Search bar. Type “Student:” then the student’s first and last name. Choose the correct name from the results that populate.  
  1. You should now be viewing the student’s profile. In the blue column on the left, select the Academics section. 
  1. Navigate to the External Records tab across the top. External Records shows:
    1. Test results and courses from other institutions attended.
    2. Advanced placement test scores, SAT scores, and Âé¶¹Ãâ·Ñ¸ßÇåÎÞשÂëÇøplacement scores.
    3. Relevant standardized tests that determine eligibility for certain courses.
  1. Select the View All button next to the Âé¶¹Ãâ·Ñ¸ßÇåÎÞשÂëÇøPlacement item to review full details of Composition and Math placement. The Section Name is the relevant subject, and the Non-Numeric Value is the recommended minimum course level the student should begin with at FLC.  
  1. Before approving an eligibility override request for a course section, review transfer credits and test results to ensure the course section desired is a good fit based upon the student’s placement and relevant course history.
Diploma and transcript notarizations

Fort Lewis College provides notary services for official documents free of charge. If you need your Âé¶¹Ãâ·Ñ¸ßÇåÎÞשÂëÇøtranscript or diploma notarized, you must:

  1. Place an official transcript order and/or a replacement diploma order
  2. Alert skyhawkstation@fortlewis.edu or registrar@fortlewis.edu that you need your transcript and/or diploma notarized.

The Colorado Secretary of State provides apostilles for a small fee. If you need a transcript or diploma notarized for an apostille, .

Undergraduate loan amounts

The amounts that undergraduate students may borrow per academic year depend on the credits earned.

PLUS (parent) Loan: Limited to Cost of Attendance minus other financial aid such as grants, scholarships, work-study, student loans, etc.

A dependent undergraduate borrower may accumulate a maximum of $31,000 in outstanding federal loan debt. The undergraduate independent borrower may get outstanding federal student loan debt of up to $57,500.

View Teaching Schedule/ View Course Roster Overview
  1. Log in to Workday and navigate to the Teaching app from the vertical menu on the left side of the portal. Hover over the Teaching and Advising tile, then select Teaching.
  2. Select the report View Teaching Schedule.
  3. Select the Academic Period field, Current Periods, and the correct year and term. Select OK.
  4. To drill into a course section enrollment list, select the blue number in the Number of Students Enrolled column and view the pop-out list of students enrolled in the course.
Payment plans for current students

Pay your bill in full by the deadline, or enroll in a payment plan before the term begins. Billing notifications are sent to your Fort Lewis College email, and you are responsible for all charges on your student account.

To set up a payment plan, log in to your student account or contact the Accounting Office.

Why aren't my grants and/or scholarships reflected on my bill?
  • Make sure you are enrolled full-time (minimum of 12 credit hours for undergraduates and 6 credit hours for graduate students). Contact the Skyhawk Station if you don't plan on being a full-time student to get your financial aid package adjusted to part-time.
  • Contact the Skyhawk Station to see if Fort Lewis College has received your FAFSA information and a check from your scholarship donor. 
  • Ask the Skyhawk Station about your Satisfactory Academic Progress status.
  • Remember, you must electronically accept the Terms and Conditions of your financial aid on your Workday account.
Diplomas for former students (replacement diplomas)

Students who graduated before Spring 2023 and order a replacement diploma will receive a new digital diploma and a replacement paper diploma from Parchment Award Services. Both diplomas will include a small “Reissued” text at the bottom.

Digital diplomas can be accessed after the student receives the initial email from Parchment and creates an account. Paper diplomas will be mailed approximately 72 hours after that, so students have time to update their diploma mailing address if needed.

View student’s Program Completion status

A new tab, called Program Completion, is now visible for advisors when viewing a student’s Academics section of their profile. This tab helps determine if a student has applied for program completion and the status of their request.  

Select the Academics section in the left blue column in the student's profile. The tabs across the top will now include Program Completion. (Note. If you can view many tabs, you may need to select the More tab to see this tab.) 

The Program Completion tab displays the student’s declared program(s) of study, the program completion status, and the expected semester the program will be completed. The Program Completion Status will be blank until the student applies for program completion in their final year.  

Once the student completes the Apply for Program Completion task in Workday, the Program Completion Status will change from blank to “Applied for Program Completion.” Once approved, the status will change to “Approved for Completion” or “Denied.” 

Federal Direct Loans

There are two distinct Federal Direct Loan programs:

  1. Subsidized Loan Program: The subsidized program is based on financial need, and the borrower does not pay interest while enrolled at least half-time. 
  2. Unsubsidized Loan Program: The unsubsidized loan program does not have this in-school subsidy and is not need-based. All eligible students may apply for and receive these funds. 

Under the unsubsidized program, interest can accumulate or capitalize until the borrower is out of school, increasing the principal's amount. The borrower can make interest-only payments to avoid capitalization. View up-to-date information on interest rates and loan origination fees.

View student’s Academic Progress Report as staff, faculty, or advisor

The Academic Progress Report will replace the uAchieve degree audit for viewing a student’s course and credit progress completed within a program of study and graduation requirements fulfilled or in progress. This report can be accessed anytime from the Academics section of a student’s Profile.

How to submit grades for a Course Section

Faculty will be notified when it is time to enter interim (mid-term) grades and final grades for their instructed courses for the current term. 

  1. Log in to Workday and navigate to the Teaching app from the vertical menu on the left side of the portal. Hover over the Teaching and Advising tile, then select Teaching.
  2. Under Grading, select "Assign Interim Grades or Assign Final Grades."
  3. Choose "My Assigned Course Sections" in the pop-up window.
  4. Select the appropriate term/semester from the options.
  5. Choose your desired "Course Section." Select "Ok."
  6. When your class roster appears, click the blank box in each student's Interim Grade or Final Grade column and select the correct final grade from the letter grade choices.
  7. If you have entered grades for all students and are finished, select the blue "Submit" button. Otherwise, you can click the "Save for Later" button to save changes and complete grading later.
