Fort Lewis College has a limited amount of Zoom recording space in our current cloud subscription.  In order to stay within our storage capacity, we will only be storing the current semester and one previous semester's recordings within Zoom. Please practice good digital housekeeping by downloading recorded meetings you want to keep, and frequently deleting all Zoom recordings which are no longer needed. 

Below is the schedule of purges completed and upcoming. It is your responsibility to download your needed recordings in the timeframes before each purge date. All recordings in each date range will be permanently deleted from Zoom on the purge date. Zoom’s Trash will store deleted files for 30 days, which may be recovered in that time frame if needed. There will be no additional backups for recordings by Information Technology.

How to Download Recordings in Zoom

  1. Login to  with your Âé¶¹Ãâ·Ñ¸ßÇåÎÞשÂëÇønetwork account credentials.
  2. Go to Recordings and Transcripts in the Personal section on the left side of the page.

  1. Narrow the search of your recordings with the date ranges to see all recordings in the timeframe chosen (ex. Purge date range of 1/1/20 – 7/31/2020); Chose dates and leave results on Cloud Recordings and All Status. Then select Search.  You can also view all recordings at once with no date range changes.

Arrow keys at the bottom of each list indicates if there is more than one page of results.

  1. Select a recording from your results.

  2. The next page will list all files that are included in the recording. Select the Download button.  list of files in the recording and download button
  3. You may see a pop-up window notifying you that each file will be downloaded separately. Select Download to continue.

  1.  You may want to change your browser settings for downloads if you have a large quantity of recordings!

a. In your Google Chrom window, go to the ellipses and Settings

b. Select Downloads from the left columns. Update the default location to a folder of your choosing by selecting Change. It is recommended to save recordings in a designated location for easy downloading and personal access, like your M: drive, which will save space on your laptop or desktop. You may also want to turn off Ask to save each file before downloading to streamline the downloading process.

  1. All meeting recordings are comprised of a video file (.mp4) and an audio file (.m4a), but there may be other files like a text file (.txt) or an audio transcript file (.vtt). All related files should be downloaded and stored together.

  2. When your download has finished, click the back button on your browser to go back to your recordings. Repeat steps 3 through 5 for all recordings in the designated time frame. You will need to input the date range each time you want to download another recording.

  3. Confirm that all needed recordings have been downloaded to the chosen new location. Go to your Recordings and Transcripts in Zoom, select Advanced Search, add your date range, select Search

  1. Select all recordings you downloaded with the check box next to each. Select Delete.  Make sure you are only deleting recordings in the date range!

Please practice good digital housekeeping and frequently delete all Zoom recordings which are no longer needed.
